Job Summary:

We are seeking a highly organized and proactive Executive Assistant to support our CTO. The ideal candidate will be responsible for managing the day-to-day operations of the office, providing administrative support, and ensuring the smooth functioning of the executive's schedule. This role requires excellent communication skills, attention to detail, and the ability to handle confidential information with discretion.

Key Responsibilities:

  • Manage and maintain the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, and presentations.
  • Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle incoming and outgoing communications, including emails, phone calls, and mail.
  • Assist with the preparation of documents and materials for meetings and presentations.
  • Conduct research and gather information as needed to support the executive's decision-making process.
  • Manage office supplies and ensure the office environment is well-maintained.
  • Liaise with internal and external stakeholders on behalf of the executive.
  • Perform other administrative tasks as required to support the executive and the office.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • 5-7 years of experience supporting CIO, CTO, CHRO, or similar executives in the past.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Bachelor's degree or equivalent experience preferred.
  • Experience working at a technology company is preferred.
