About the Role

Total Wine & More is seeking a Lead, HR Administrator to join our Human Resources team in Boca Raton, FL. This role supports the effective operation of our HR function and office administration by managing day-to-day processes, assisting with immigration administration, coordinating contingent workforce support, and leading office engagement activities. You will play a key role in ensuring HR operations run smoothly, providing frontline guidance, and partnering closely with the Human Resources Business Partners to foster a positive and engaging workplace culture.

The ideal candidate brings strong HR operations experience, attention to detail, and the ability to balance administrative excellence with employee experience. This is a hands-on role where you will supervise core HR processes, serve as a point of contact for employees and contractors, and ensure operational consistency. You will report to the VP of Human Resources.

You will

  • Supervise daily HR administrative processes and office operations to ensure accuracy, compliance, and efficiency.
  • Lead and coordinate office engagement activities (e.g., recognition events, wellness initiatives, community/volunteer activities, team-building sessions) to support a positive and inclusive workplace culture.
  • Support immigration administration, including document collection, case tracking, and coordination with external immigration partners.
  • Assist with the administration and tracking of contractor/contingent workforce assignments, onboarding, and compliance requirements.
  • Oversee onboarding and offboarding processes for employees and contractors, ensuring a seamless experience.
  • Respond to employee inquiries and escalate complex matters to the appropriate HR team member.
  • Prepare and maintain HR records, reports, and metrics, ensuring accuracy and confidentiality.
  • Contribute to process improvement initiatives to streamline workflows and enhance employee and contractor experiences.

You will come with

  • 3–6 years of professional experience in HR operations, administration, or office management.
  • Experience planning or coordinating employee engagement or office culture activities preferred.
  • Experience supporting immigration administration processes or working with external immigration counsel preferred.
  • Familiarity with contractor/contingent workforce processes or vendor management systems a plus.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Attention to detail and a commitment to compliance and data accuracy.
  • Strong communication and interpersonal skills, with the ability to build trust and provide excellent service to employees and contractors.
  • Proactive, solutions-oriented mindset with the ability to adapt to evolving business needs.
