Position Summary:

The Specialist, Production Rehearsal Logistics is responsible for the coordination and management of essential administrative duties required to support smooth operation of all aspects related to day-to-day operations of Royal Caribbean Productions. This role supports production personnel and cast-related logistics, as well as general shoreside rehearsal and office operations. Additional responsibilities include production administration, shoreside rehearsal procedures, operational communications, troubleshooting and problem-resolution. Operates in a multicultural team environment and is expected to work in a collaborative way with leadership and colleagues, as well as independently, as required.

Shoreside: Works closely with Director, Entertainment Operations; Manager, Wardrobe Operations; Casting Operations; HR Operations; Workforce Strategy & Movement; Facilities/Workplace Solutions; Corporate Travel; Incident Response Team; Global Crew Readiness; Risk Management.

Shipboard: Works closely with HR & Crew Admin Team, Stage & Production Managers, Technical Director Entertainment, and Cast Leadership.

Essential Duties and Responsibilities:

  • Manages internal and external communication to key stakeholders related to incoming production casts and creative teams, including relevant rehearsal arrival and departure dates, shipboard show installation dates, and other important details to support the fleetwide year-round rehearsal and cast change process.
  • Handles production cast pre-arrival details and local arrival transportation to entertainment housing facility.
  • Responsible for forecasting annual rehearsal housing requirements.
  • Coordinates and confirms onsite housing for all performers and production personnel during shoreside rehearsal period.
  • Procures offsite hotel accommodations, as required, to support shoreside rehearsal needs.
  • Works directly with internal and external facilities management personnel to manage all reservations and communicate updates on a daily basis.
  • Responsible for accurately maintaining studio operations manifest at all times.
  • Coordinates transportation, rehearsal space, and other logistical needs to support shoreside rehearsal operations and ensure on-time shipboard arrival.
  • Manages internal company badge process and services requests for performers and production personnel.
  • Facilitates relevant studio communication with production team members.
  • Serves as key support with incident response coordination, communication, and procedures.
  • Supports general rehearsal space scheduling at shoreside rehearsal facility, as needed.
  • Assists with rehearsal requirements to support Aqua Cast operations, such as pool facility research, scheduling and reservations, insurance certification, PADI/CPR training coordination, and Aqua production team assistance, as needed.
  • Coordinates and schedules orientations, rehearsal performance observations, performer meetings, and other operational calendar management.
  • Handles invoices related to rehearsal logistics; assists with contractor setups, travel account numbers, and related administrative needs.
  • Supports various production cast administrative needs, such as per diem processing, Salary@Sea procedure, documentation review, cast shipboard training verification, etc.
  • May assist with creative team and performer orientation sessions, participates in team meetings, leads special project assignments, etc., as required.
  • General administrative support and assistance for office operations.

Qualifications:

  • Bachelor’s degree preferred from an accredited college or university in Business Administration, Communications, Theater or related field.
  • Experience in the entertainment industry and cruise industry shipboard and/or shoreside a plus.
  • Expertise in interpersonal communication skills, both written and verbal communication in a multicultural environment with all levels of employees and management.
  • Excellent logical and critical thinking skills, coupled with a strong ability to research, analyze and form potential solutions.
  • Attention to detail, troubleshooting and organizational skills required.
  • Demonstrate a strong work ethic, receptiveness to guidance, with an ability to creatively tackle challenges under ambiguous circumstances.
  • High level of emotional intelligence. Innovative thinker with a growth mindset.

Knowledge & Skills:

  • Understanding of computer systems to include Microsoft Word, Excel, Lotus Notes, Outlook, Access, PowerPoint, Smartsheet.
  • Ability to work efficiently under pressure and able to meet deadlines.
  • Must be able to effectively handle many different projects and responsibilities at once, problem-solve and multi-task.

Financial Responsibilities:

Responsible for keeping business on track within operating budgets, including supplementals and per diems, and identifying the most cost-effective solutions and operational opportunities.

Physical Requirements:

While performing job functions the employee is regularly required to sit, stand, write, review and type reports, compile data, operate a pc, communicate, listen, and assess information. The employee may move about the office complex, may travel to other office locations, and may lift, push, pull or move 10 - 15 pounds. Visual requirements include distant, close and color vision, and ability to adjust focus.

Working Conditions:

A high noise level is possible if visiting shipboard or offsite locations.
