Position Overview

REEF is seeking a highly organized and proactive Office Manager to oversee the daily operations of our Miami headquarters. This role is crucial in ensuring the smooth functioning of our office environment and providing executive support to our leadership team. The ideal candidate will be a resourceful, self-motivated individual with a strong ability to manage multiple tasks and adapt to a dynamic work environment. This position is 100% on-site and cannot be accommodated as hybrid or remote.

Key Responsibilities:

  • Support the C-suite executives with travel planning, including booking flights, accommodations, and transportation, ensuring all arrangements align with their preferences and schedules.
  • Manage the daily operations of the Miami headquarters, ensuring a clean, organized, and efficient office environment.
  • Act as the primary point of contact for office-related matters, including maintenance, supplies, and vendor management.
  • Coordinate and plan company events, meetings, and other activities, ensuring all logistics are handled seamlessly.
  • Oversee the management of office budgets, including tracking expenses and ensuring cost-effectiveness in all operations.
  • Assist with onboarding new employees, ensuring they have the resources and support needed to succeed.
  • Manage and maintain office equipment and technology, liaising with IT support as necessary.
  • Serve as a liaison between the Miami office and other REEF locations to ensure consistent communication and collaboration.
  • Identify and implement improvements to office processes and systems to enhance efficiency and productivity.

Qualifications

  • Proven experience as an Executive Assistant, Office Manager, or in a similar role.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal skills, with the ability to interact with individuals at all levels of the organization.
  • Ability to work independently and as part of a team, with a proactive and positive attitude.
  • Maintain a high degree of confidentiality and professionalism with internal and external stakeholders.
  • Discretion and trustworthiness in handling confidential information.
  • Familiarity with budgeting and financial management.
  • Experience in event planning and coordination is a plus.
  • Bachelor’s degree in Business Administration or a related field preferred
