Summary

The Associate Program Director (APD) of Administrative Affairs, in collaboration with the Program Director (PD), is responsible for the planning and direction of administration functions of the Biomedical Sciences (BMS) and Clinical Laboratory Sciences (CLS) programs. The APD oversees all general day-to-day administrative functions of both programs and assists the PD in development of policies and procedures that are consistent with the overall mission of the BMS and CLS programs, and in compliance with accreditation standards and other regulatory agencies. The APD is specifically responsible for managing admissions processes, establishing and maintaining relationships with professional school and clinical affiliates, and functioning as a pre-health advisor to BMS students applying for biomedical professional programs. The APD will perform duties that support the mission and core commitments of Barry University.

This position is Hybrid (In-Person/Remote)

Essential Functions

Administrative Duties

  • Assists the PD in the planning, direction and administration of the Biomedical Sciences (BMS) and Clinical Laboratory Sciences (CLS) programs.
  • Directly participates in developing and maintaining policies and procedures that are consistent with the overall mission of the BMS and CLS programs in compliance with accreditation standards and other regulatory agencies.
  • Oversees the development and implementation of a strategic plan that aligns with the accreditation and regulatory requirements of the programs.
  • Assists the PD in monitoring and evaluating program quality, outcomes and possible risk exposures.
  • Manages and maintains all external relationships with professional schools (medical, dental, PA, etc.) for BMS including drafting and processing guaranteed interview and guaranteed admissions agreements. This includes routing new agreements through legal, sharing the details with all necessary parties and placing a copy of executed agreements on the SharePoint site.
  • Manages and maintains all external relationships with affiliate clinical sites for CLS including drafting and processing clinical rotation site affiliation agreements. This includes routing new agreements through legal, sharing the details with all necessary parties and placing a copy of executed agreements on the SharePoint site.
  • Oversees the preparation, evaluation, and review of program documents including, but not limited to the academic catalogs, student handbooks, application forms, recruitment brochures, program websites, course outlines, and didactic and clinical evaluation forms.
  • Oversees the social media reach-out for the BMS program.
  • Performs assigned duties related to student and faculty recruitment, application, interview, acceptance, and counseling activities. This may include attendance at job fairs, educational seminars, or any other activities related to this duty.
  • Assists the PD in developing, documenting, and monitoring an evaluation plan for students, faculty, and administrative staff.
  • Participates in the planning and implementation of student didactic & clinical instructional activities.
  • Directs, while collaborating with faculty advisors, professional student advising for the BMS and CLS programs; acts as students' source of program information and provides guidance on students' plan of study.
  • Operates as a liaison for IT and Facilities on the Hollywood campus; coordinates with Operations Manager to ensure continuity of these services.
  • Acts as students' professional mentor.
  • Works with BMS students in preparation for the professional school application process.
    • Coordinates hybrid and virtual visits with professional school representatives.
    • Shares detailed information with students regarding guaranteed interview and early assurance programs. Obtains the necessary information from students and shares with professional schools according to their set agreement/schedule.
    • Solicits new opportunity for interview agreements with professional schools.
    • Offers a Personal Statement session each term to aid students in starting their statement; this session may be offered as part of BMS 503 or separately depending on the class schedule.
    • Offers group sessions for medical, dental, and (as needed) PA students to review the application process and address questions.
    • Offers mock interviews for students once they have received an interview invite for professional school.
    • Tracks professional school acceptances based on student shared data (that has been verified) and the universal advising portal.

Additional Duties:

  • Serves as the liaison to the Office of Legal Affairs; maintains all facility and clinical site contracts for the programs.
  • Serves as the Grant Department Liaison: Assists the Program Director with drafts of grant submissions, gathering data, monitoring external agency updates, preparing interim reports for submission, and interfacing with the Grant & Sponsored Programs department.
  • Manages and oversees program evaluations including course, exit, and alumni surveys for the programs.
  • Prepares rosters for ExamSoft each semester and enters approved Office of Accessibility Servies accommodations into ExamSoft.
  • Manages, collates, and analyzes quantitative and qualitative data information for the department and for external agency reports.
  • Is responsible for the hiring and termination process for all BMS student employees.
  • Teaches appropriate sessions for BMS 503 relating to professional school development.
  • Other duties as assigned by Program Director:
  • Participate in probation/suspension process as needed
  • Review transcripts for graduation approval in conjunction with the Program Director
  • Prepare Faculty Workload Reports
  • Assist with preparation of Board of Trustee Reports or other Quarterly reports

Procurement and Budgeting:

  • Participates in the development and implementation of the budgetary components of both the BMS and the CLS programs, assisting the PD and the Operations Manager.
  • Provides meaningful information to decision makers and seeks to anticipate financial problems before they occur.

Qualifications/Requirements

  • A Master's degree in Public Relations, Communications, Business or related field is required.

  • 5-8 years of related experience

  • Advanced experience with MS Office Suite.

  • Previous supervisory experience is required.

  • Excellent written and oral communication skills.
