Summary
The Administrative Assistant II serve as a critical member in the Nursing and Health Sciences Administration Programs operations office by providing professional support and assistance. The position serve as the initial impression of the NHSA office.
The Administrative Assistant II will manage highly confidential and sensitive details and multiple tasks relevant to Nursing and Health Sciences Administration Programs Operations.

Essential Functions
1. Provides frontline support to the office of Nursing and Health Science Administration Programs by:
- Greeting incoming visitors
- Providing customer service and accurate information to incoming guests and refers them to appropriate University personnel.
- Answers the main phone lines for the Nursing and Health Sciences Administration programs office and makes calls on behalf of the programs when directed.
- Receives and reviews mail daily and sorts mail and redirects to appropriate departments.
- Completes routine administrative functions such as managing front desk, restocking office supplies, ensuring all documentation is up to date.
- Edits and proofreads communications as needed.
- Provides oversight and maintenance of accurate office files.
- Oversees the accuracy of the Nursing and Health Sciences Administration Programs operations nd procedures manual
- Assists the Nursing Operations Manager with maintaining up to date information on hospital and clinical sites affiliation agreements for nursing programs. Assists the operations manager with coordination and logistics for meetings.
- Serves as the contact for general West Wiegand room requests (management of W-132 and W-254)
- Assists with administrative support of the Nursing and HSA programs by maintaining contact information, program related information available and up to date.
2. Assist with managing the West Wiegand Nursing rooms and offices by:
- Maintaining the Wiegand 132 and 254 room schedules
- Provide room use information to programs on a quarterly basis
- Manage room requests from Nursing and HSA faculty and administration.
- Monitor and manage classroom and office inventory.
- Assist with supervising classroom custodial and maintenance needs
- Submit and track facilities maintenance requests.
3. Perform other duties as assigned or requested by operations manager.
Qualifications/Requirements
High School diploma or GED is required.
Associates degree and vocational or technical school degree is preferred.
5 or more years of work experience in a clerical or administrative role may substitute for a college degree.
3 - 5 years work related experience is required.
Working knowledge of concepts, practices and procedures and ability to use in varied situations.
Problems are varied, requiring analysis or interpretation of the situation. Problems are solved using knowledge and skills, and general precedents and practices.
