Summary
Under the direction of the Associate Director of Athletics, provide administrative leadership as assigned in the Department of Intercollegiate Athletics in support of the university's mission, goals, and strategic agenda. As one of the primary responsibilities, oversee, plan, organize, administer, and direct the academic support services, certification, and eligibility of the student-athletes and the overall athletic program. Meet academic goals, including direct work with student-athletes, faculty, and staff to ensure academic success. Serve as an expert resource regarding university academic policies and procedures and NCAA academic eligibility. This function includes administration and coordination of academic progress, performance, reporting to NCAA and other official entities, and a support program for Barry University Intercollegiate student-athletes.
Essential Functions
Supervise the coordination and assignment of academic study hall and tutoring.
Train and supervise graduate assistants for academic support, study hall monitor, and potential tutors.
Provide guidance and direction to ensure compliance with university and related policies and procedures.
Understand National Collegiate Athletic Association (NCAA) eligibility rules.
Assist students with the scheduling of tutoring, academic resources, advising, career development, etc.
Conduct daily check-ins with at-risk students to make sure they are attending class and performing well.
Canvas Observer: views reports and progress reports, reporting any alarming findings with student-athletes, coaches, and faculty. Updating students with important announcements, dates, documents, articles, study hall information, career development opportunities, campus events, compliance information, handbook, etc.
Responsible for the creation and distribution of the student-athlete newsletters are sent out biweekly, and the distribution of important information from the administration.
Work with various departments to ensure retention and work on retention strategies.
Provide direction, counsel, and mentorship to student-athletes for specific issues impacting academic success and direction.
Serve as a liaison and advocate regarding academic issues for student-athletes and university constituents.
Assist students in resolving registration conflicts, course withdrawals and adjustments, changes of major, deficient grades, teacher conflict, tutor conflict, and schedule adjustments.
Coordinate support with the university's academic resources.
Serve on the Compliance Committee.
Responsible for updating the academic information on the Compliance Assistant and Academic Portal.
Create and distribute absent letters to faculty for excused absences (sporting events, international competition, medical reasons, family emergency, etc.).
Help facilitate ORI 100 sections designated for student-athletes.
Work with advisors and departments around campus to determine proper courses and scheduling so student athletes can adhere to NCAA PTD requirements.
Constant monitoring of student-athletes and reporting issues to the coaching staff, administration, and faculty. Work closely with professors to create academic plans for struggling athletes.
Assist professors in motivating the student-athletes to perform well.
Serve as the liaison between the coaching staff and professors regarding student performance.
Development and implementation of academic and study hall policies (player and coach interventions).
Assist Academic Advisors in coming up with a graduation plan for student-athletes regarding remaining eligibility.
Run academic reports and nominate student-athletes for scholarships, academic accolades, Bucky Awards, D2ADA awards, Honor Roll, All-Americans, SSC Commissioners Honor Roll, Team GPA Awards, Elite 90, etc.
Eligibility and Reporting:
Initial continuing eligibility and transfer certification; determine eligibility of prospective and continuing student-athletes, which includes but is not limited to reviewing transcripts, credits, majors, and all academic records for incoming and returning students, and completing the transfer evaluation forms for transfers in accordance with NCAA rules.
Submit NCAA interpretations as needed.
Advises student-athletes and coaches of student-athletes' academic eligibility status and identifies deficiencies in both NCAA degree progress rules
Recommends a path forward to eligibility regarding courses needed to become eligible on a semester-by-semester plan.
Review summer school requests for all student-athletes and their academic needs.
Collaborates with the Admissions Department, the Athletics Academics, Compliance Department, and academic units (deans, registrars, provost, etc) related to catalog requirements for progress towards graduation and any substitutions for courses as applicable.
Monitors enrollment status changes throughout the semester (drop/add) and keeps the department updated accordingly.
Maintaining compliance with NCAA and conference certification rules by assisting with the processing of waivers.
Responsible for updating change of major/minor/concentration status to student records on time and maintaining all student-athlete eligibility documentation.
Running degree audits and working with the student-athlete advisor on NCAA certification issues.
Assisting with APR and GSR data collection.
Prepare reports and disseminate information: student-athlete academic calendar, academic performance, program completion.
Coordinate and prepare data for NCAA APC, persistence/graduation rates, and Academic Success Rates reports.
Serves as a liaison with the institutional research for SA data, enrollment, and demographics; midterm deficiency, study hall, and tutoring reports; academic summaries, program effectiveness, and other miscellaneous reports as required.
Create and produce ad hoc reports and retrieve data from NCAA Compliance Assistant Software, the university's Colleague data system/Informer reporting, and prepare an annual report for the Student-Athlete profile and academic performance.
Create additional reports for the athletic department, president council, chamber, mission engagement, etc., as requested.
Responsible for providing registration and credit reports.
Prospective transfer student-athletes:
Acquire transcript evaluations and provide assessment of academic status and program completion; acquire program completion plan from academic advisor to determine transfer credit application and time remaining for eligibility and program completion.
Meet with prospective student-athletes and families during official and unofficial visits to campus, and inform them about academic policies and support services.
Participate in Admission Committees, Orientation Committees, and Student Success Committees.
Responsible for the introduction of Athletics during Admitted Students Day, Orientation, Presidents Council, and other presentations.
Active participant of N4A, student-athlete academic groups.
Communicate with other institutions on new ways to help student-athletes succeed. Attend seminars, trainings, webinars, etc., to stay up to date with NCAA compliance.
Assist with university athletic events, including game administration responsibilities
Qualifications/Requirements
A Bachelor's degree in any field is required. A Master's degree is preferred.
1-3 years of experience in a similar position.
Prior work experience in higher education is preferred.
Experience and knowledge of NCAA bylaws
Experience using Colleague and Salesforce.
Excellent written and verbal communication skills.
