As Associate Director for the Office of Dual Enrollment, responsibilities include ensuring the submission of articulation agreements with high school and district partners, and collaborating with schools to identify and vet potential dual enrollment instructors. The role involves coordinating orientations, maintaining relationships with participating schools, overseeing student applications and registrations, and managing dual enrollment communications, including newsletters and marketing materials. Additional duties include facilitating reimbursement reports, updating the program website, and collaborating with various university departments to ensure smooth operations, instructor evaluations, and compliance with program standards.
Essential Functions:
1. Conduct administrative and operational duties for the program:
Support the submission and management of articulation agreements with each high school or district partner.
Collaborate with high schools to identify and recommend new dual enrollment instructors.
Review and vet potential dual enrollment instructors in coordination with Barry University faculty for final approval.
Coordinate and facilitate orientation sessions for instructors in partnership with university faculty.
Conduct visits, as needed, to current and prospective dual enrollment schools to foster partnerships.
Oversee and track student applications, registrations, and payment processes for program compliance.
Develop and distribute a monthly newsletter to keep high school partners informed of program updates and key announcements.
Organize and send marketing gifts to high school partners on behalf of the program.
Perform additional duties as assigned to support the dual enrollment program’s overall success.
2. Collaboration with University Divisions, Departments, Offices, Schools/Colleges:
Coordinate with the University Registrar on course listings, equivalencies, grade reports, and student transcript management.
Partner with the designated admissions representative to develop and implement recruitment strategies for current dual enrollment students.
Maintain and strengthen the relationship between Barry’s dual enrollment program and the Olympic & Paralympic Museum, utilizing their course curriculum.
Administer a semesterly survey for the SLS1204 course to gather instructor feedback and provide insights to the Olympic & Paralympic Museum on curriculum effectiveness.
Collaborate with DOIT to ensure the Dual Enrollment website is regularly updated as new schools and courses are added to the program.
Work with the Marketing Department to design and produce promotional materials such as brochures, flyers, and videos for the dual enrollment program.
Partner with Human Resources to facilitate the proper hiring of all dual enrollment staff.
Collaborate with academic schools and colleges to appoint faculty mentors for dual enrollment students.
Coordinate with the Student Union to secure space for dual enrollment orientation events and assist students with obtaining university IDs.
Liaise with the university bookstore to ensure timely purchasing and distribution of dual enrollment textbooks for local high schools.
Oversee instructor evaluation efforts in partnership with faculty mentors, ensuring thorough assessments at each participating school.
Lead collaboration with the Marketing Department to refresh and enhance the dual enrollment website.
Assist in identifying and resolving operational challenges, administrative issues, and workflow concerns raised by faculty, district administrators, high school staff, or students, ensuring clear and consistent communication with all stakeholders.
Perform additional duties as assigned to support program operations.
3. Assist in the management of dual enrollment office functions including:
Upload and manage critical dual enrollment documents on the SharePoint drive, ensuring proper organization and streamlined access to all documentation.
Maintain accurate and up-to-date files for dual enrollment instructors.
Contribute to the development of dual enrollment publications and promotional materials.
Support the organization and upkeep of the office's shared drive, ensuring easy access to relevant documents for staff.
Conduct research to evaluate program effectiveness, aligning it with industry standards and best practices.
Assist in the maintenance of comprehensive program records, including student rosters, faculty mentor assignments, employee payment details, HR application information, and student enrollment data.
Ensure proper management of the SharePoint platform to centralize and secure all program-related documents.
Perform additional duties as required to support the overall program’s goals and operations.
This position may be responsible for other duties as assigned by the Associate Vice Provost for Student Success and Undergraduate Studies.
Qualifications/Requirements:
Bachelor's degree required.
Master's Degree preferred.
3-5 years previous experience
Excellent written and oral communication skills
