Summary
Provides direct student support services to all students enrolled at the Miami Shores campus, maintains student records and ensures overall cohesion of the University experience for students; implements and coordinates student engagement events, coordinates events with all extended sites. Organizes and implements all student projects, professional development events, and all school related activities for BSW, MSW, and PhD student and online MSW and DSW students. Serves as Chair of the Professional Development Committee. Provides guidance and support to all offsite student services and online students.. Provides training to students and new employees at all site locations on Canvas. Serves as the data manager and provides program and event evaluation data, demographic data, enrollment, retention, and graduation data to the program directors, Associate Dean, and the Dean as needed. Coordinates all new student orientations and graduation events. Provides follow up to online students. Maintains effective relationships between the School of Social Work and the University community. Assist in the follow-up and engagement of
admission prospects and applicants to the MSW and PhD Programs and the DSW online program. Attends local recruitment fairs as needed. This position reports to the Dean of Social Work..

Essential Functions
Acts as the first line of contact for enrolled students:
Providing information, instructions and appropriate referrals for students;
Researching student issues and referring students to the appropriate department for resolution of issues;
Screening specific student related academic issues and concerns, downloading related documentation and referring students to the appropriate Program Director.
Assisting traditional and online students with drop/add periods and procedures, withdrawal procedures, and other logistical procedures.
Assisting in tracking provisionally admitted students and advise them of missing paperwork that will result in a hold for registration.
Providing general information to students regarding policy, procedures, and the status of processed documents; referring students to program directors for all non-technical matters such as, modification of course plans, exceptions to policy, complaints/grievance, classroom related issues, and matters that require advisement;
Receiving, routing, processing, and uploading all student documents including but not limited to withdrawals, change of grades, drop and add requests, change of major;
Recording in appropriate university platforms and student records academic advisors and faculty mentors assigned to students; referring all requests for changes in advisors and mentors to the appropriate Program Director;
Serving as school liaisons with the Office of the Registrar; and
Organizes and implements all student events, and student professional development activities by: Serving as Chair of the Professional Development Committee
Completing all tasks related to the preparation of new student orientation events for traditional and online students as well as the Pinning Ceremony held twice each year which includes ensuring proper notification, ensuring the timeliness of events, the creation and publication of the orientation agenda, compiling all orientation packets, arranging for and coordinating catering and other purchases with the Manager of Operations, room location, set up, and audiovisual equipment;
Attending all required meetings and student eEvents; attending all meetings scheduled by the Assistant to the Dean, recording minutes for the Admissions and Student Services Committee.

Providing leadership and the coordination of the publication of the School's newsletter Completing all tasks related to the planning and implementation of student events, such as mid semester activities, graduation recognition events, back to school events, student government events, human rights and social justice initiatives, and other activities initiated by Student Services and the Center for Human Rights; providing proper notification, timeliness of events, the creation and publication of notices and announcements, arranging for and coordinating catering and other purchases with the Manager of Operations, room location, set up, and equipment as needed; maintains event records and provides for the evaluation of all events.
Prepares annual budget for the provision /magazine
Works collaboratively with the Marketing Coordinator, Program Directors, and faculty in provision and promotion of activities designed to strengthen the implicit curriculum by:
Assisting in the planning, scheduling, and coordination of all Certificate Programs and external trainings facilitated by faculty.
Providing administrative support to Program Directors in the planning, development, implementation, and evaluation of professional development events specifically designed for students; preparing the event planning forms, reserving space for events, coordinating catering and the purchase of other resources, publishing notices of events in collaboration with the Marketing Coordinator, arranging for the management of the registration of attendees, and the distribution and collection of evaluation forms at the end of each event;
Administering satisfaction surveys and consistently compiling and reporting the results to the Manager of Operations;
Assisting in the work unit by performing other tasks associated with admissions and enrollment as needed, which includes booking appointments for the director of admissions and supporting the Director of Doctoral Studies as needed.
Organizing opportunities for the school to actively participate in university community events.
Serves as the data manager and provides technical support to the School's designated Assessment Chair and provides support to the Director of Admissions these duties include
Providing support to the Office of Admissions; conducting follow-up on prospective applicants and applicants; attending local recruitment fairs as needed in support of the Admissions office.
Collecting and maintaining program and event evaluation data, student demographic data, graduation outcome data, retention and graduation statistics and submitting data for reports as needed. When deemed necessary, this position will manage the course evaluation data collection process.
Entering all contact and follow up information into SalesForce; assisting in the research and collection of data relevant to the analysis of recruitment strategies
Performs other related duties as assigned or required, including assistance in marketing, recruitment, enrollment, and school open house events and promotional activities.
Uploading and importing documents using the preferred University/School software); retrieving all CSWE required assessment data from the Assessment Chair and posting such documents in accordance to CSWE requirements.
Performing all related tasks associated with the distribution and collection of data, serving as the repository of all data collection points.
Directs and coordinates all alumni relations activities which includes Sending surveys to graduating students for outcome assessment Maintaining consistent contact with alumni:
Sending correspondence on behalf of the school recognizing various achievements of alumni Planning events to include alumni
Serving as the liaison with IA-Alumni Relations
Requirements/Qualifications
A Bachelors degree is required. A degree in Social Work or Business is preferred
3-5 years of relevant experience. 5 or more years of experience will substitute the educational requirement
Intermediate skills using multiple software including excel, Microsoft, and platforms such as AIS, WebAdvisor, Canvas, and other electronic record systems
This position has constant interaction with students, faculty, and university personnel and the ability to maintain a courteous, appropriate and professional demeanor.
