The Conference and Events Manager is responsible for planning and coordinating on campus meetings, events, and summer conferences for external individuals and organizations and major on campus University events as assigned by the Director. This person is responsible for scheduling, contracting, and billing for all eternal meeting, events, and summer conferences.

Manages and decides on the use of facilities for all on-campus meetings and events for externals individuals/organizations, including Co-Sponsored University events. Events include weddings, theater rentals, filming and photography shoots, meeting/event room rental, summer conference, etc.; Conducts site visits and tours; Communicates and enforces policies and procedures for facility use; Negotiates pricing and drafts clients’ contracts; Creates a reporting system to track revenue and expenses for external rentals.

Partners with internal service providers to coordinate all necessary needs (Audio Visual, Catering, Public Safety, Marketing) for the client; Negotiates on behalf of client with external vendors when necessary

Assists with the management of the department budget by: establishing budget projections for external business; Manages clients billing process (invoicing, collecting payment, and depositing payments); Authorizes payment for service providers; Prepares budgetary reports as needed.

Performs duties in support of the Department: Consults with the Director to establish goals and assist in the development of the pricing plan for University facilities and summer conferencing; Assists with CES website content and updates as needed; Trains and supervises staff including Administrative Assistant, Conference and Events Coordinator, and student workers.

Qualifications/Requirements:

Bachelor's Degree required.

3-5 years previous experience.

Experience may substitute for degree requirement.

Ability to analyze problems and propose solutions.

Previous experience planning, scheduling, and directing event management, identifying and addressing obstacles.

Must be comfortable with public speaking and have excellent verbal and written communication skills.

Bilingual preferred (Spanish and/or Creole).

Experience using EMS software and Workday preferred.
